Corporate Holiday Party Transportation in St. Louis: How to Plan It

The simplest way to handle corporate holiday party transportation in St. Louis is to book a Mercedes-Benz Sprinter by the hour to move the team together, or to give guests flat-rate rides home after the party. At Black Car Service, the Sprinter seats up to 14 and costs $225 an hour with a 4-hour minimum, or $900 for a 4-hour evening. Individual rides are priced by distance, from $85 for 10 to 15 miles in a Cadillac XT6 or Lyriq.

Two ways to do it

Most company parties fall into one of two patterns. In the first, the team gathers at the office or a hotel and travels to the venue together, then back again. In the second, people make their own way there, and the company covers the ride home so nobody drives after the toast. Some planners do both.

What rides home cost

A ride home is a flat fare based on distance, so the company knows the cost before the night starts. In the Cadillac XT6 or Lyriq, a trip of 10 to 15 miles is $85, 15 to 20 miles is $105, and 20 to 25 miles is $125. Shorter trips are $50 plus $7.50 a mile, capped at $85. In a Suburban Premier or Escalade ESV, the same bands are $125, $150 and $175.

One detail planners miss: pickups between midnight and 5:59 a.m. carry a flat $40 after-hours fee. If the party runs late, it can make sense to schedule the last rides home for 11:45 p.m. rather than 12:15 a.m.

Why companies book it

  • ●Nobody has to decide who is fit to drive at the end of the night.
  • ●The planner knows the full transportation cost up front, with no surge on a busy December Friday.
  • ●Out-of-town guests can be picked up from their hotel or from Lambert airport and brought straight to the party.
  • ●One invoice is easier for finance than a pile of rideshare receipts.

When to book

Holiday party season runs from late November through December, and many companies pick the same Friday and Saturday nights. If your date is set, book the vehicles as soon as the venue is confirmed. If your company already uses our corporate car service for travel, a monthly corporate account puts the party on the same invoice.

Details to send with the booking

  • ●The venue address and the start and end times.
  • ●Where the shuttle should collect people, and how many at each stop.
  • ●A list of guest addresses if the company is covering rides home.
  • ●One contact at the event the chauffeur can call on the night.

For a party at a downtown venue such as Union Station or a hotel ballroom, give the exact entrance. Downtown streets around big venues can be slow on December weekends, and a precise meeting point saves time for everyone.
